Inventory & Stock
A Wine Merchant Inventory System Tracked to the Bottle, With Duty Status Attached to Every Unit
Bacchus ERP is a wine merchant inventory system that tracks every unit of stock — lot, case, or individual bottle — with its own bond status, location, and owner attached, so an inventory count and a duty position are never two separate questions.
Inventory Down to the Individual Bottle, Not Just the Case
Every unit of stock in Bacchus ERP carries a level — lot, case, or bottle — a parent unit, pack format, rotation number, bond status, location, and owner, attached to the unit itself rather than inferred from a warehouse-level count. Units split and merge as stock actually moves: a lot repacked into cases, a case broken into individual bottles for sale. Every child unit sums exactly back to its parent, with lineage preserved across the whole chain. The same model also covers en primeur, mixed cases, and large formats, without a separate structure bolted on for each.
Duty Status Is Part of the Inventory Record, Not a Separate Lookup
Alongside lot/case/bottle level, every unit carries an explicit bond status — en primeur, in bond, duty paid, or in transit — as part of the same record, not a second system a merchant has to cross-reference by hand. A merchant asking what they actually hold, and what the duty position on it is, gets one answer from one record, at whichever level of granularity the question is asked. Duty and VAT are calculated automatically the moment stock is withdrawn from bond, using effective-dated UK duty bands, so the figure attached to a unit's history is the one that was actually in force on the day it moved. Full detail on the calculation itself is on the duty calculation software page.
Stock Sold Before It Lands, On the Same Record
A unit still in transit into bond can be sold ahead of arrival, and that pending claim lives on the same inventory record rather than a separate one. For how an in-transit sale actually settles once stock lands, see bonded warehouse stock management software.
A Provenance Trail Behind Every Unit
A read-only ownership timeline traces any unit's lot/case/bottle lineage event by event, with each link labelled for how strong the underlying evidence actually is, and an explicit list of what the timeline can't answer. A merchant inventory system that only reports a current count can't say how a bottle got there; this one keeps the trail.
Moving Stock From Company-Owned to Client-Owned, With the Record Intact
A dedicated ownership-change action moves a unit from company-held stock to a real buyer's holding in a single transaction, with the usual sale guards in place, and the unit's provenance history carried forward rather than restarted. This is a genuinely recent addition to the platform, not a longstanding feature — it closed a real gap that an internal audit of the platform found completely unbuilt earlier in its life.
What This Page Covers, and What It Doesn't
This page is about the inventory record itself — the lot/case/bottle unit model and the bond/duty status attached to every unit — and not the warehouse-operator workflows or the trading screen the platform also runs on top of that same record.
The bonded-warehouse operator and site management around that stock — movement instructions, cellarage billing, and multi-operator bond tracking — is covered on the bonded warehouse stock management page, and buying and selling that same stock against live market pricing is covered on the wine trading software page. For how all of this fits together for a merchant or broker operating at scale, see trade wine at scale.
